A customer reorders a custom color, but the prior batch record shows three corrections after the starting formula missed the target. Which numbers should production use now?
Repeating the untouched starting formula may repeat the same correction work. Copying only the final totals can hide why the changes were made, which materials changed, and how the color was judged. A reliable custom paint color reorder begins by reconciling the approved batch history into a proposed final formula, then checking whether that formula is ready to become a controlled revision.
The goal is not to erase adjustments. It is to turn a successful, documented result into a clearer starting point for the next run while preserving the evidence behind it.
Start with the approved prior batch
Do not begin with the newest spreadsheet, a color name, or an operator’s memory. Identify the exact prior batch the customer accepted. Those final amounts are a better candidate for the next starting formula than the untouched 288-gram package. They are not proof that the next batch will pass without review. The previous correction may have responded to a particular pigment lot, base lot, mixer, temperature, or measurement issue.
Preserve the original targets and adjustments in batch history and the reconciled 246 g, 38 g, and 13.5 g quantities in the proposed revision.
Decide what belongs in a new master formula
One successful corrected batch does not automatically authorize a new master. Review why each correction was needed.
A lasting revision may be reasonable when records are complete, materials and process are representative, the arithmetic reconciles, the test method is controlled, and an authorized person reviews the change. Keep a one-run note when a correction addressed a temporary lot difference, incorrect starting weight, or equipment problem.
Give any approved revision a new version number and effective date. Record its source batch, reason for change, reviewer, and the prior version it replaces. Older production records must continue to point to the formula versions they actually used.

Recheck scale, materials, and test conditions
Before scaling the reconciled formula to the reorder quantity, compare the conditions that can change the result:
- base product and base lot;
- pigment or colorant supplier, item, and lot;
- scale resolution and rounding method;
- mixer, vessel, speed, time, and batch geometry;
- substrate, application method, film thickness, and cure time; and
- approved sample and viewing or instrument conditions.
Pigment ratios help calculate a starting point; they do not guarantee batch consistency. If 20 kilograms becomes 50, scale from the reconciled amounts, retain appropriate precision, and document targets and actual additions.

A repeat-order preflight should answer six questions:
- Which approved prior batch is the source?
- Do all starting quantities and adjustments reconcile?

- Can the team reproduce the same test and approval method?
- Who can approve the first sample and authorize full production?
If any answer is unclear, expose it before promising quantity and delivery. Rebuilding the formula during production adds labor, test cycles, material use, and schedule risk that the quote may not cover.
Preserve both the source history and approved revision
The new formula should point back to the approved source batch. The new production run should point to the new formula version. That creates a clean record chain without rewriting either event.
If the reorder needs another correction, capture it as a new batch event. Do not silently change the proposed formula totals. Review the new evidence after the run, then decide whether another controlled revision is warranted.
